How it works
From first idea to a box at the school office
Here is every step of a group order, who does it and what happens next. Your school admin does the setting up. Students only need to join, pick a size and pay.
Step 1: Your school gets set up
TrackEd sales rep
A TrackEd sales rep registers your school and adds the staff who'll run its orders as school admins. If your school isn't on TrackEd yet, contact us.
Step 2: Create the group
School admin
Sign in with your school email. There's no password: we send you a link. Start a group for a year level, team, house or staff, and confirm the delivery details. They start from the school's address.
Every school admin at your school can help run the group. Your sales rep can also help set it up and with the design until ordering opens.
Step 3: Design your garment
School admin
Pick a product, then colour each panel from the fabrics the maker actually stocks, so what arrives matches the screen. Add embroidery, screen prints, chenille patches or twill lettering in the marked zones, and upload your crest or logo.
Mark a zone as per student if you want each person's name, nickname, initials or number there. The price per student updates as you go.
Step 4: Vote on variants
Students in the group
You can create up to five versions of a design, for example two colourways and a different back print. Invite the group to vote and the most popular one goes on sale. Or skip the vote and offer more than one.
Step 5: Open orders and share the link
School admin
Set an estimated quantity, which fixes the price band, and a deadline. Then share the invite link with the group through the school's usual channels.
Step 6: Students order and pay
Each student
Each student joins from the link, checks the size guide, picks a size and types their personalisation. A live preview shows how it will look on the garment.
They pay by card, Apple Pay or Google Pay, or send a payment link to a parent or guardian. If the school is paying for the group, students order without paying. Each payment is confirmed by email.
Step 7: Personalisation is checked
School admin
Every nickname is screened against a list of offensive words as it's entered. Flagged entries have to be changed or kept with a reason by a school admin, who also reviews the full list of names before submitting.
Step 8: Deadline and lock
Automatic, or the school admin
Orders lock at the deadline, or earlier if the school admin locks them. After that nobody can change or cancel. Orders still unpaid at the lock are dropped and don't count towards the total.
If the final count falls below the price band you set, the school admin can extend the deadline, ask everyone for a small top-up or contact us. We won't submit an order the numbers don't support.
Step 9: Submit one order
School admin
The school admin reviews the size breakdown and the name list, then submits a single consolidated order. We check it and send it to the maker.
Step 10: Approve the proof
School admin
Before production starts, the maker prepares production artwork, called a proof. We check it first, then the school admin approves it or asks for changes. Nothing is made until the proof is approved.
Step 11: Production and tracking
Everyone can follow along
Once the maker accepts the order, the group dashboard shows their estimated ship date. You'll see when production starts and when the order is dispatched, along with the tracking details. Estimates can move, and we'll tell you if they do.
Step 12: Delivery to school
The maker ships it
Our makers are local or overseas. Either way, the whole order arrives at the school in one delivery with no customs bills. Each garment is individually bagged and labelled with the student's name, design and size. The school admin uses the packing list to hand them out.
Step 13: Report any issues
School admin
If a garment is faulty, misprinted or the wrong size compared with what was ordered, the school admin reports it from the dashboard with photos within 14 days of delivery. We work it out with the maker and arrange a remake, refund or credit. See delivery and returns.
