Collection notice
What we collect when you join a group or order, why we need it, who sees it and what you can do about it. It's written for students, but it applies to everyone who uses TrackEd.
DRAFT: REQUIRES LEGAL REVIEW
This page is a working draft. It has not been reviewed by a lawyer and is not yet the final version that applies to orders.
Who we are
TrackEd is run by TrackEd Pty Ltd (PLACEHOLDER) (ABN 00 000 000 000). We help school groups design and order custom hoodies and jackets. When this notice says "we" or "us", it means TrackEd.
What we collect
- your name, and the display name you want used on your order
- your email address, so you can sign in and get updates about your order
- your school and the group you joined
- the size you pick
- your personalisation, such as a nickname, surname, initials or number
- your order and payment status, for example whether you've ordered and whether it's paid
What we don't collect
We don't ask for your date of birth, phone number or home address, and we don't collect photos of students.
When you pay, your card details go straight to Stripe, our payment provider. They never reach TrackEd, and we can't see your full card number.
Why we need it
We use your information to:
- make your garment with the right size and personalisation
- deliver it to your school, labelled with your name
- let your school's admins run the group order
- email you about your order, such as receipts, reminders before the deadline and delivery updates
- sort out any problem with your garment after it arrives
- keep the tax records the law requires
We don't sell your information and we don't use it for advertising. If you don't give us these details, we can't make an order for you.
Who sees it
- Your school's admins, staff at your school, see your name, size, personalisation and whether you've ordered and paid, so they can run the group order.
- Your school's TrackEd sales rep sees how many people have joined and ordered, but not your name or what you ordered.
- TrackEd sees all of the information above so we can run the service and help if something goes wrong.
- The supplier who makes the garments only gets your display name, your personalisation, the design and your size. They never get your email address or anything about payment.
We also use a few service providers to run TrackEd, such as Stripe for payments and a provider that sends our emails. They only use your information to do that job for us.
Where it goes
We store data in Australia (Sydney).
Some of our garments are made by suppliers outside Australia. Right now that includes suppliers in Pakistan. If your group orders a garment made there, your display name, personalisation, design and size are sent to that supplier so they can make it.
How long we keep it
We keep your personal details while your order is being made and delivered, then for 12 months after delivery in case there's a problem. After that we anonymise it, which means your name, email and personalisation are removed so the record can't be linked back to you.
Australian tax law says we have to keep tax records for 5 years. Those records keep only what an invoice needs, such as what was bought, the price, the GST and the date.
Your choices
- Download your data. From your account page you can download a copy of the information we hold about you.
- Ask us to delete it. You can request deletion from your account page. If your order is still being made, we may need to finish it first, and we keep the tax records the law requires.
- Fix something. You can change your size and personalisation until your group's order locks. For anything else, contact us.
- Ask a question or make a complaint. Contact us or email platform@agentum.com.au. If you're not happy with our answer, you can complain to the Office of the Australian Information Commissioner (OAIC).
